    The Challenge

    Jay Miller ran his entire staffing operation out of his head. Candidate names on sticky notes. Follow-ups tracked in memory. Spreadsheets that contradicted each other. Papers stacked on every surface, some critical, some weeks old, no way to tell the difference without reading each one.

    We walked into the operation and mapped everything, not what the software said should happen, but what actually happened. The sticky notes on the monitor. The spreadsheet with three tabs that hadn't been updated in weeks. The notebook with candidate names that only Jay could decipher. The email threads where critical follow-ups went to die.

    The abandoned CRM told its own story: dozens of fields nobody filled out, workflows designed for a company ten times their size, a system so overengineered that the team built workarounds on top of workarounds just to avoid opening it.

    The bottleneck wasn't effort. It was friction. The distance between "candidate comes in" and "candidate gets placed" was filled with manual steps, scattered data, and human memory doing the job a system should've been doing all along.

    A custom CRM + ATS architecture stripped to only the fields that matter. No bloated forms. No features nobody asked for. A single-view pipeline that shows every candidate's status at a glance (Applied, Screening, Placed) without clicking through five screens to find a phone number.

    Intelligent handoff triggers replaced the manual check-ins. The system would know when a candidate needed follow-up, when a placement was stalling, when something was falling through the cracks, before a human had to remember.
